Enterprise LMS Administration & Optimization

Multi-platform learning management system administration spanning Workday Learning, SumTotal, and Canvas LMS, supporting 3,000+ users with systematic user lifecycle management, curriculum deployment, and compliance reporting across a complex enterprise environment.

Managed enterprise-scale learning management system administration across three distinct platforms — Workday Learning, SumTotal, and Canvas LMS — supporting over 3,000 active users at Utah Transit Authority and continuing education programs in higher education. This work encompassed the full scope of LMS operations: user lifecycle management, enterprise curriculum deployment, system configuration, compliance reporting, data integrity maintenance, and cross-functional technical support.

Challenge

Administering learning technology for a large, distributed workforce and academic programs introduced several interconnected challenges:

  • Multi-platform complexity — Three distinct LMS platforms with different architectures, user models, and administrative workflows requiring unified operational standards
  • User lifecycle management at scale — 3,000+ user accounts requiring systematic provisioning, role assignment, access management, and periodic remediation of inactive records
  • Curriculum deployment consistency — Enterprise-wide training curricula needed reliable deployment, version control, and enrollment management across geographically dispersed facilities
  • Reporting fragmentation — Stakeholders required consolidated completion data, compliance tracking, and performance metrics drawn from multiple systems with different reporting capabilities
  • Data integrity degradation — Accumulated inactive users, orphaned enrollments, and inconsistent records impacting system performance and reporting accuracy

Platform Administration

Workday Learning

Served as primary LMS administrator for Utah Transit Authority’s Workday Learning environment, supporting the organization’s 3,000+ employee base across maintenance, operations, and administrative divisions.

  • Curriculum architecture — Designed and maintained enterprise curriculum structures including learning paths, course catalogs, and prerequisite chains aligned with organizational training requirements
  • Enrollment management — Configured automated and manual enrollment workflows, managed waitlists, and coordinated mass enrollment events for enterprise-wide training initiatives
  • System configuration — Maintained platform settings, notification templates, security roles, and integration points with HR systems for automated user provisioning
  • Compliance tracking — Configured and monitored regulatory training requirements (DOT, FTA, FRA) with automated reminders and escalation workflows for overdue completions

SumTotal LMS

Managed legacy SumTotal LMS operations during transition period, ensuring continuity of training records and compliance documentation.

  • Legacy system maintenance — Maintained course catalogs, user records, and completion histories during platform transition planning
  • Compliance documentation — Preserved audit-ready training records and generated compliance reports for regulatory requirements
  • Data migration preparation — Cataloged and validated training records for potential migration to successor platforms
  • User support — Provided ongoing technical support for users navigating legacy system interfaces and workflows

Canvas LMS

Administered Canvas LMS for higher education continuing education programs focused on adult learner upskilling and workforce development.

  • Course environment management — Configured course shells, enrollment settings, and assessment frameworks for continuing education programs
  • Adult learner support — Tailored platform configuration to support non-traditional students returning to education for professional development
  • Outcomes alignment — Configured learning outcomes and competency tracking aligned with workforce development objectives
  • Instructor support — Provided technical guidance to faculty on platform capabilities, gradebook configuration, and content publishing workflows

User Lifecycle Management

Developed and executed systematic processes for managing the complete user lifecycle across enterprise LMS platforms, from initial provisioning through eventual account deactivation.

  • Account provisioning — Established standardized workflows for new user onboarding including role assignment, organizational unit mapping, and initial curriculum enrollment
  • Role-based access control — Configured and maintained permission structures ensuring appropriate access levels for learners, managers, instructors, and administrators
  • Inactive user remediation — Led comprehensive LMS purge initiative to identify and remediate inactive user accounts, improving system performance and reporting accuracy

The inactive user purge process required careful coordination with HR, operations leadership, and IT to validate separation data, preserve historical records, and systematically clean 3,000+ user accounts without disrupting active training operations.

  • Automated notifications — Configured system-generated communications for enrollment confirmations, completion reminders, overdue alerts, and manager escalations
  • Ongoing account maintenance — Established recurring review cycles for access audits, role updates, and organizational structure changes

Reporting & Data Integrity

Built and maintained reporting infrastructure to support stakeholder decision-making, regulatory compliance, and continuous improvement of training operations.

  • Completion dashboards — Generated regular and ad-hoc completion reports for training managers, operations leadership, and executive stakeholders
  • Compliance reporting — Produced audit-ready documentation for DOT, FTA, and FRA regulatory training requirements with automated tracking of overdue completions
  • Data integrity maintenance — Conducted systematic data quality reviews to identify and resolve duplicate records, orphaned enrollments, and inconsistent completion data
  • System performance monitoring — Tracked platform utilization metrics, identified performance bottlenecks, and coordinated with IT on infrastructure optimization
  • Cross-platform reconciliation — Developed processes for reconciling training records across multiple LMS platforms to provide unified reporting to stakeholders
